How do I use Mail Merge?

Send personalized emails to multiple recipients at once using your contacts and message templates.

Written by Julia

💡 Good to know: Mailbutler lets you create and send Mail Merges directly from your email client, without switching to another app or tool.

Step 1: Open Mailbutler

Open the Mailbutler Sidebar:

👉 Gmail

👉 Outlook

Step 2: Create a Message Template

Create a Message Template using Mailbutler's Templates feature.

Step 3: Personalize your template

Add placeholders for recipient details, such as names, companies, and other contact information, so each recipient receives a personalized email.

Step 4: Add your contacts

Add your contacts to Mailbutler by connecting your contacts manager, CRM, or by importing contacts from a CSV file.

Step 5: Create your Mail Merge

  1. Start a new email draft and insert your Message Template.

  2. Then select the recipients you want to include in the Mail Merge.

Mailbutler will automatically replace placeholders with each recipient's information.

Step 6: Send your personalized email

1. Check whether Mailbutler highlights any missing placeholder information.

Show or Hide Recipients

When using Mail Merge, you can choose whether recipients are visible to each other or kept hidden.

Show recipients
Recipients will be able to see all email addresses included in the To field.

Hide recipients
Each recipient will only see their own email address, creating a more personalized experience and protecting recipients' privacy.

Note: The Show/Hide Recipients toggle only appears when:

  • You have entered multiple recipients in the To field, and

  • You are using a template that contains placeholders.

Once these conditions are met, you can select whether recipients should be visible or hidden before sending your Mail Merge campaign.

2. Send your email.

🔔 Note: If you're using Outlook, use Tailored Send instead of Send to ensure each recipient receives their own personalized copy of the email.

💡 Good to know: Use Per-Recipient Tracking to view engagement insights for each recipient individually.

🔔 Note: Recipients per email limit: The maximum number of recipients you can send to in a single Mail Merge email depends on your email provider:

Gmail: 250

Outlook: 1000

Other: 50
